The Real Order of Systemization

Most people equate “systemization” with buying software—and that’s the wrong sequence.

**Correct sequence:** **Rules before data, data before tools, tools before automation.**

1. **Rules**—decide how things get done: whether to collect deposits, how much, and when to refund. No tool required; a single sheet of paper suffices.
2. **Data**—record according to the rules: six-column pet profiles, service logs, follow-up cycles. A spreadsheet is enough.
3. **Tools**—once data volume grows, select tools to scale: booking system, auto-reminders, payment flows.
4. **Automation**—finally, hand off repetitive tasks to machines: auto-reply for Class A queries, automated reminders.

Skip the first two steps and buy software anyway, and what you get is “digitalizing chaos”—the process remains unchanged, only moved from paper to screen.
